Automation Settings

Posting Sales Orders in Dynamics 365 for Financials can be a one-step or a two-step process. When using a two-step posting process, Shipments and Invoices are posted separately.  Set the Source Document Posting option to Ship to use a two-step process or set it to Ship and Invoice to use a one-step process. If you set it to Ship, after the Shipment is posted and the shipping labels are printed, the Sales Order will still need to be Posted again to generate the Invoice.

Additionally, if you usually know which Shipping Agent and Service you will be using and do not typically Rate Shop to select a Service, you can check the Auto-Calc. Freight on Release field to automatically add a freight charge to your Sales Orders based on the selected Service when the Sales Order is Released, Approved, or Posted.

Number Series Settings

When creating Shipments in Dynamics 365 for Financials, each Shipment has an identifier assigned to it using a Number Series. You can select which Number Series to use for Shipments or you can leave the Shipment Nos. field blank and the Wizard will create one for you called SHIP. When you are finished, click Next.

Item Category Settings

When generating a Rate Quote for Shipments, the software needs to know the approximate size and weight of each item on the Sales Order. You can specify this information on each Item Card, but sometimes specifying it by Item Category is sufficient for Rate Quote purposes. If you can, approximate the Length, Width, Height, and Weight of Items in each listed Item Category. Click Next to continue.

Location Settings

If you are using the Locations feature of Dynamics 365 for Financials, you can specify that when shipping from specific Locations, Sales Orders must be Packed before they can be Posted. Check the Require Packing field for each Location that meets this criterion. When you are finished, click Next.

Sales Line Settings

When charging your customers for freight on a Sales Order, the system will automatically add a line to the order. This line can be of any valid Sales Line Type. For each Shipping Agent Service, select a Type and No. that you would like the system to use for freight charges. You can use the Set All Line Types and Set All Line Nos. fields to do this quickly if you want the same settings for each Shipping Agent Service. Note that using a Type of Resource is common. Click Next to continue.

Account Setup

You can now tell the Wizard about Accounts for each Shipping Agent that you use. Some Shipping Agents like UPS and FedEx have a Registration Wizard that will launch when you click the Create Account link. For other Shipping Agents, you can specify your Account information on the Shipping Agent Account Card that will appear when you click the Create Account link. Once your Accounts are created, set the Default Account No. field to the Account that you will be using most of the time for each Shipping Agent (or set to your only Account if you just have one). Click Next to continue.

Test Mode Settings

Some Shipping Agents, like UPS, allow you to operate in Test mode, which gives you the opportunity to try generating shipping labels without the risk of getting billed. However, not all Shipping Agents support Test mode. If you would like to try Test Mode, check the box. If you want to change this setting later, you can either run the Setup Wizard again or go to the Shipping Setup page. When you are finished, click Next.

Usage

Rate Shop

Rate Shopping allows you to compare the cost and delivery dates of the available Shipping Agent Services. Once you have added items to your Sales Order, expand the Shipping and Billing FastTab. If you don’t see the Agent field, you may need to select the Show More link. Select an Agent from the lookup. Next, click the Rate Shop action in the ribbon.

If there are Items on the Sales Order that do not contain physical dimensions, ChargeLogic Shipping will give you the opportunity to specify the weight, length, width, and height at this time. If all Items on the Sales Order already have physical dimensions, you will not see this step. These dimensions are required for Rate Shopping, as the system needs to estimate the number of packages needed to ship the Sales Order. Add any missing physical dimensions and click OK. The system will ask if you want to update the master records with the entered information. If you want to update the Item master with the physical dimensions that you specified so that they will be used automatically next time you sell this item, click Yes.

You will now see the Services available from your location to your Customer’s shipping address. Each Service has a Cost, a Price, and an Estimated Delivery Date. Select the desired Service and click OK. The system will create a new Sales Line that represents the freight charge to the Customer.

Address Validation, Packing, and Shipping

When you are ready to Ship your Sales Order, click the Pack action in the ribbon.

Depending on the Shipping Agent, the system may now perform an Address Validation. Address Validation is important because it makes sure that the destination address is found in the Shipping Agent’s database and that the address on the label is formatted the way that is preferred by the Shipping Agent. The Address Validation window can present you with multiple address suggestions, as well as the original address from the Sales Order. Select the address that you want to use and click OK. The Ship-to Address on the Sales Order will change

The Packing screen will now be displayed. Use the actions at the top of the page to add and remove items from the selected Package. If you need to start a new Package, click the New button in the Packages section of the ribbon. To pack Items into Packages, use the following actions:

  • Pack All: Add all remaining items in the Items to Pack list to the currently selected Package
  • Pack Item: Add all quantity of the selected Item in the Items to Pack list to the currently selected Package
  • Pack 1: Add a quantity of 1 of the selected Item in the Items to Pack list to the currently selected Package

To remove Items from Packages, use the following actions:

  • Unpack All: Remove all items from the currently selected Package and return them to the Items to Pack list
  • Unpack Item: Remove all quantity of the currently selected Item from the Package and return them to the Items to Pack list
  • Unpack 1: Remove a quantity of 1 of the selected packed Item and return it to the Items to Pack list

To manage Packages:

  • New: Add a new Package to the shipment
  • Delete: Delete the currently selected Package and return any packed items to the Items to Pack list

Once all items have been packed, make sure that the Package Type Code for each Package is set to the correct Package Type. The system will calculate the estimated weight of each package based on the items you have added. To override the calculated weight, enter the actual weight in the Manual Weight field of each Package.

When you have packed all items, selected the correct Package Types, and verified the weights, click the Post action to post the Shipment and generate the shipping labels. The labels will be sent to your web browser as printable documents and can be printed to a laser or label printer.
